In order to develop a culture of student mobility in ASEAN, mechanism for ACTS should involve five parties; home universities (sending institution), host universities (receiving institutions), AUN-ACTS Secretariat, AUN-ACTS Steering Committee and of course the students. Each party will have their own responsibility:
Home Universities
- Promote AUN Student Exchange Program under ACTS scheme
- Provide at least five full scholarships for their outgoing students
- Conduct selection process of their outgoing students
- Nominate their students for AUN Student Exchange Program through ACTS online application system
- Provide assistance in facilitating and making travel arrangements for their outgoing students
- Approve outgoing students’ ACTS learning agreement
- Conduct credit transfer process of their outgoing students
Host Universities
- Promote AUN Student Exchange Program under ACTS scheme
- Input and regularly update available courses for exchange students in ACTS courses database
- Input and regularly update academic calendar and other important dates of application process
- Conduct selection of incoming students
- Approve or disapprove application of incoming students through ACTS online application system
- Issue letter of acceptance for the approved incoming students based on students’ confirmation through ACTS online application system
- Provide minimally tuition fee waiver for incoming students
- Provide assistance in accommodation arrangement, obtaining student visa and other immigration, airport transfer for incoming students
- Provide orientation for incoming students
- Approve courses to be taken by incoming students through ACTS online application system
- Approve incoming students’ ACTS learning agreement
- Submit ACTS grades of incoming students through ACTS online application system by the end of exchange program
AUN-ACTS Secretariat
- Promote AUN Student Exchange Program under ACTS scheme
- Develop and maintain ACTS online application system and courses database
- Monitor the implementation of ACTS among AUN Member Universities
- Issue ACTS academic transcript and certificate for AUN-ACTS scholars (based on the academic report submitted by Host Universities through ACTS online application system)
- Report the implementation of ACTS to ACTS Steering Committee
AUN-ACTS Steering Committee
- Promote AUN Student Exchange Program under ACTS scheme
- Be the decision maker of ACTS policy
- Monitor and evaluate the implementation of ACTS
- Provide assistance to AUN-ACTS Secretariat in implementing ACTS among AUN member universities
Students
- Submit complete information through ACTS online application system
- Submit the system generated ACTS application form to their home universities together with other requirements to be reviewed
- Confirm the acceptance through ACTS online application system once accepted by the host university
- Input the courses taken during the exchange program to ACTS online application system
- Generate learning agreement from ACTS online application system to be approved by both universities (home and host)
- Comply with student exchange rules and regulations applied to both home and host universities
- Promote AUN Student Exchange Program under ACTS scheme once they returned to their home universities
